Tour Company Terms and Conditions

 

The following are the terms and conditions for Hardhill Executive Travel (HET) for account bookings and tour operators. These terms and conditions are broadly in line with most tour company’s own conditions.

 

Hardhill will accept an email or telephone call from clients as a provisional booking. Upon making the booking an invoice for the full booking will be raised. The booking is only confirmed, and a bus and driver allocated when a 25% non-refundable deposit is received. Deposits are payable at least 60 days before a booking date. Full payment is expected 30 days before travel. If full payment is not received that the hire will NOT go ahead and the non-refundable deposit will be retained.

 

Cancellation & Administration Fees

 

If in the event that a client has to cancel a booking

 

  Cancellation Fees
More than 60 days before the departure date If the deposit has been paid the deposit will be returned minus a £50 admin charge. whichever is the higher.
Within 30-60 days of departure The deposit will be forfeit.
Within 7-30 days The deposit and 50% of the balance paid will be forfeit.
Within 7 days of departure 100% of the balance.

 

Please Note: Failure to pay the balance 30 days will make the booking null and void and the deposit paid will be retained.

In the event that HET has to cancel the booking a full refund of all monies paid will be done immediately. HET will not make any cancellations within 30 days of travel.

Extenuating Circumstances:

HET recognise that from time to time there will be extenuating circumstances that are unforeseen by the company, booking agent or tour company.

These extenuating circumstances may be serious illness within the party, death of close family members, Government mandated restrictions on travel, police restrictions, unusual transportation disruptions that make travel impossible (such as natural disasters, severe storms, etc. ), epidemic disease or illness, safety and security threats, and other unexpected events.

HET expect and will work with the tour operator or agent in good faith on a mutual trust basis to facilitate any change through extenuating circumstances.

In the event of any Extenuating Circumstance happening and a cancellation happens, HET will work with the tour operator on the basis that if the tour operator is providing a full refund then HET will provide a full refund to the tour agent, or where the tour operator is retaining monies HET expect that a portion of those monies will be made available to HET. Where possible any agreement between the tour operator and their client will be shared with HET.
